Once you have booked your travel to Aarhus for your assigned beam time you can contact the , Heidi Pedersen, if you would like us to book accommodation for your stay in Aarhus.

If you will be supported under MOSBRI transnational access programme, accommodation should be booked via the ISA secretary.

There are several options available to you:

Some of the hotels available in the centre of the city are

• Hotel Ritz (B&B)
• Best Western: The Mayor (B&B).
• Scandic Aarhus City (B&B).
• Cab-Inn (B&B). Prices start from 495 DKK per night.
• Wakeup Hotel, a new budget hotel located close to the main railway station. Prices start from around 400 DKK per night.

Accommodation closer to the University

• Department of Mathematics (Self Catering) - If you arrive outside of normal office hours (weekend/late night) then please arrange for accommodation in a hotel for your first night.

Rooms at the Mathematics department.

There are several guest rooms available in the Mathematics department, conveniently located close to ASTRID2. Each room has a private en suite bathroom and there is a kitchen and laundry facilities available. These rooms are in high demand and we recommend booking early in order to ensure a reservation.

Reservation

For reservation of a room at the Maths department, please send an email to the including your arrival and departure dates. If it is necessary to change your reservation (dates or name of person), please do so no later than one week before your beam time by emailing the ISA secretary.

Price of room

The price per night for a room in the Maths department is 412.5 DKK (Inc. VAT). For stays longer than 14 consecutive nights, reduced rates apply.

Check-in/Check-out

• Check-in: From 2 pm on date of arrival
• Check-out: the room must be vacated by 10:30 am on the day of departure.

Payment

It is the user’s responsibility to pay for the accommodation at the Maths department. You are requested to go to the Maths Information Office during your stay and pay for the accommodation. Please note that only credit card payment (VISA and Mastercard) is accepted.

Opening hours: Monday - Friday: 8 am - 3 pm
Please note that the Information Office is closed on Saturdays and Sundays, and on Bank Holidays.

Cancellation and no arrival

Cancellations made before 2 pm on the day before arrival are free of charge. If you fail to arrive without cancelling in advance, or if you cancel after 2 pm on the day before arrival, you will be charged for one night. If a cancellation is made after 2 pm on Friday, you will be charged for the first 3 nights (Fri-Mon).

Please return the access card and key you were given at the start of beam time to the ISA secretary, Heidi Pedersen or one of the beam line scientists, do not leave them in your Maths room or at Maths information.
